What is Procure Assist
What does Cogentiq Procure Assist do?
Procure Assist handles the manual work of a sourcing event, then checks that the deal holds.
Procurement Orchestration takes a requisition through event setup, RFx drafting, supplier shortlisting, supplier communications, bid comparison, negotiation support with price benchmarks, and a drafted award recommendation. Procurement Assurance reads your contracts and invoices, matches them, and flags where invoiced prices or terms differ from what was agreed.
Who is Procure Assist for?
Procurement leaders who need to show the value their function delivers, and the category managers and sourcing teams who run events day to day. Finance teams also benefit from a contract-to-invoice view of whether negotiated terms are being honored.
How is it different from other AI procurement platforms?
Most AI procurement tools focus on one stage, such as intake, sourcing, contract analysis or spend recovery. Procure Assist covers both sourcing and post-award assurance, so you can follow a deal from the award recommendation through the contract to the invoices paid against it.
It also focuses on the slow, manual middle of a sourcing event that most tools leave to email and spreadsheets: chasing supplier responses, putting bids in different formats onto a like-for-like basis, and writing up the reasons behind an award.
Is Procure Assist just a procurement chatbot?
No. A chatbot answers questions. Procure Assist does the work: it drafts supplier emails, normalizes bids into a like-for-like comparison, and drafts the award rationale for your team to review and approve.
Each step is recorded, so you can see what the AI proposed, what your team changed, and who approved it.
Values and outcomes
How does Procure Assist help us show ROI to finance?
By linking each sourcing decision to what happened next. For every event you can see the baseline, the negotiated outcome and the reasons behind the award. Once invoices arrive, you can see whether the agreed prices and terms were applied.
That gives finance evidence of realized value and a clear list of where value is at risk, rather than negotiated savings figures alone.
Can it show whether negotiated savings actually reach our invoices?
Yes. Procure Assist extracts the commercial terms from your contracts, such as prices, rates, discounts and payment terms, and the matching lines from supplier invoices. It reconciles the two and flags deviations, for example an invoiced rate above the contracted rate, so your team can recover the difference and fix the cause.
Because these checks run routinely rather than in a periodic audit, issues surface sooner.
Does it support both direct and indirect procurement?
Yes, it supports both direct and indirect procurement processes end to end.
Fit with your systems
Will Procure Assist replace our ERP or source-to-pay platform?
No. Procure Assist works alongside the systems you already use. It reads requisitions, contracts, purchase orders and invoices from them, and works with supplier emails and bid files wherever they sit today.
Your ERP stays the system of record. Outputs such as an award recommendation are drafts for your team to approve before anything is written back.
Which systems does it connect to?
Procure Assist can connect to various systems like SAP S/4HANA, SAP Ariba, Coupa, Microsoft 365 / Outlook etc.
Where a direct connection isn't in place yet, Procure Assist can start to work from exports and documents such as spreadsheets, PDFs and email, so you can start without waiting for an integration project. The data connector in such cases can be taken up as additional customization.
Where does Procure Assist run, and where does our data live?
Procure Assist is deployed inside your own cloud environment, so your procurement data stays within your tenant and under your existing security controls. Users sign in with your company single sign-on, and role-based permissions control who can view, edit and approve.
We will provide all the latest VAPT, SAST, DAST reports before even moving the solution to your environment.
How long does implementation take?
Typical timeline for a MVP, 4-6weeks from kickoff to the first live sourcing event. Most of that time goes into connecting your data sources and configuring your approval rules, templates and categories. We usually start with one category, prove the results on live events, then expand.
AI, control and trust
How much does the AI decide on its own?
Today, nothing reaches a supplier or your systems without a person approving it. Procure Assist suggests and drafts; your team reviews, edits and decides.
Our roadmap adds the option to let it act on specific low-risk steps, such as sending a routine supplier reminder, within limits you set. You decide which steps, if any, move to that level.
How do you make sure the numbers and recommendations are right?
Calculations such as bid totals, savings and policy thresholds are done by fixed rules in the software, not by the AI model, so every number can be traced and reproduced. The AI reads documents and drafts text.
For compliance and leakage checks, a second AI model from a different provider reviews the findings independently, so no single model checks its own work. Recommendations come with the evidence behind them, so reviewers can check the reasoning.
Is our data used to train AI models?
No. Procure Assist uses AI models through API gateways under enterprise terms, where your prompts, documents and outputs are not used to train the providers' models.
